We are looking for an experienced Facilities Manager to join our global Facilities team, reporting into our Director of People Operations. In this role, you will drive the day-to-day operations of the Thought Machine London headquarters (HQ). Your primary focus will be managing the building, landlord/managing agent relationship, building financials and establishing a world-class office experience. You will manage the London Facilities team and work with the regional leads in Singapore and New York to embed best-in-class practices across all our offices. As an organised individual with an ‘all-hands-on-deck’ approach, you will be at the heart of nurturing our culture.
Duties
  • Lead and manage the London Facilities team, including baristas, facilities assistants and third-party providers, e.g. cleaners and subcontractors.
  • Manage the landlord and building management relationship and all associated projects.
  • Manage building financials and own all budgets, working closely with the building management company and finance team. Drive cost savings at every opportunity. Be able to articulately report financial position at relevant forums.
  • Collaborate with Security, Finance, Risk & Compliance, People, IT and Operations to uphold business continuity plans, security, fire health and safety standards. Proactively manage and ensure compliance with all applicable regulatory standards at all times.
  • Manage internal facilities, brand and communication, acting as a role model for Thought Machine, create an incredible environment for everyone.
  • Own all facilities processes and empower the team to implement changes throughout the facilities lifecycle - establishing standards, processing and metrics whilst continuously working to enhance the employee, client, visitor experiences.
  • Manage any necessary building improvements, for example significant power upgrades or M&E replacement programmes. Or if required, a building move.
  • Proactively manage building capacity and work with execs and team leads to ensure an optimum work environment.
  • Adhere to financial and procurement processes.
  • Lead/support cross-functional events and initiatives.
  • Enhance processes and tools for business requests.
